Effective organization and time management are essential to stay on top of it all because at the end of the day, procurement is not just about getting things – it’s about strategy, timing, and precision.
Let’s dive into some tried-and-true time management tactics that can transform your workflow.
Start a TO DO List
It may seem silly but once we stop having post-it notes all over the place and focus on what is urgent, important but not urgent or routine tasks, it’s a game change for our day.
Personally I use MS Notes but there are out there uncountable options of applications that could help you on that. Trello, Asana, or Microsoft To Do are some examples.
Organize your digital workspace.
Your emails can be overwhelming. To organize Your Digital Workspace is the key for your efficient self. Separate email folders and subfolders per topic, vendor, requestor, project, business unit, task (complete, pending), etc.
Whatever you feel like. As long as you understand the logic you used. Save your emails, clear what is not important, set rules to auto-sort emails.
Bonus tip: schedule two email check-ins per day to avoid constant distractions.
Time blocking!
My friend, if you do not define your limits, your tasks will define it for you.
My favorite tool ever is Calendar Block. Trust me, Calendar Block is your best friend. Start with saving a daily hour for strategic tasks and another for follow up administrative tasks. Respect the time, treat them like a meeting and voilà! You just got ten hours per week to do activities that only depend on you.
Yet on this matter, as we well know, Procurement is full of surprises – late shipments, urgent requests, expedites. Leave 10–15% of your day unscheduled to handle the unexpected without derailing your plan.
Plan around lead time
Awesome, now that we know what needs to be done, let’s plan around Lead Time.
Yes, everything seems to be urgent and late but it’s not the reality. Making sure you have your important dates clear and a short buffer in case of unexpected delays will be your best friend in the time management game. That will allow you to be ready for your day and avoid last minute rushes. Usually I keep important dates on my MS Outlook calendar but you can also use Trello, Monday.com, etc.
Project management skills and tools
If you are working on a medium to large project, Set Milestones and Checkpoints helps you to identify priorities and when you will need others input. Using Project Management tools for breaking your task in events is a good way to get it done efficiently. You can also apply Agile Methodologies to arrange short and constant deliveries. Trello, Zoho, ICAgile, Asana, you name it!
Processes, processes, processes!
Another tip I personally like is to Standardize your processes.
Specially the routine tasks, create a template and use it. Having a template reduces decision fatigue and speeds up execution. Check list reviews, purchase requisition approvals, meetings purpose charts, script for negotiation calls. Sky is the limit for standardization.
Do not hesitate to delegate!
Last but not least, consider delegation This is probably the hardest for the ones that need to have control of what is going on, however with good understanding of the needs, standardization and clear checkpoints, sometimes, delegation of admin/routine tasks can be a way to free up space for strategic thinking. Trust the plan and your colleagues.
